Student Health Enhancements
- The Physician's exam date field has been moved to the "Health Screenings" record within the student record. Now, you can enter a physical exam with more details in the "Physical Exam" tab, rather than just the child's latest exam date. This allows users to enter all historical physical exams that the family has completed for their child. Physical exam records were automatically created for students who had a physical exam date entered prior to the update to ensure that no data was lost.
- Updated the Student Medical Home data to allow users to enter a history of medical homes where they received services, including dates for when the child was served at that medical home
- Updated the TB At Risk section of the student Physician's Report record to include more accurate information in a new section titled "TB Risk Assessment" which will include questions for TB skin tests, chest x-rays, blood tests, and risk assessments
- Added a field titled "Federally Qualified Health Center" to the Medical Home details section in a student's record, to specifically track when a child's medical home facility where they were served is an FQHC
- Added the following information to the child's Emergency Card download: Teacher's Name, Session Name, Room Number, and Photo Consent (Yes or No)
eSignature/Attendance Enhancements
- For children with a Variable by Week schedule, we've added the hours a student has attended in that week to the staff "eSignature Attendance" view
- Updated the eSignature History downloads to ensure all attendance data is preserved when an emergency contact or authorized pick-up individuals are removed from a family record
- Updated the setting to automatically process parent and staff-reported absences to adhere to the 10 best interest day limit. The system will process the 11th best interest day as an unexcused absence.
Family Application Enhancements
- Added a setting to make the site preference selection optional for parents within the family application better support the application process for FCCHENs
- Added two new filters to the Applications and Waitlist grids: "Created On" and "Created By"
- Ensured the correct Income Ceilings are shown on Family Applications and Family Record Enrollment areas
- Disabled the "Revisions Needed" status change for family applications in the "Not Started" status
Data Grid Enhancements
- Created the ability to have preset views that store and display filter selections on the Students, Sites, Sessions, and Applications and Waitlist Grids. To create a filter preset, set the filters you'd like to use, then click on the "Filter Presets" button. From there, click "Create Preset," give the preset a name and brief description, and click "Save."
Referral Enhancements
- Added a customizable "Referral Categories" field that can be configured on the agency level "Child Referrals" or "Parent Referrals"
CA State Reporting Enhancements
- On the CAPSDAC Report, we updated the "HeadOfHouseholdMiddleInitial1" column to show a green cell even if the value is blank since it is an optional field
- Updated the 8501 and 9500 reports to report child days of enrollment in the "At Risk of Abuse or Neglect" category if any of the following fields on the student record are marked as "Yes":
- CPS Recipient
- At Risk At Enrollment
- At Risk During the Year
- Removed a space in the column name of the Head of Household Middle Initial in the 801A TXT file to ensure users do not encounter an error when attempting to upload their 801A report
- Granted access to the 801A report record for the following roles: Agency Data Reporting Contact, Agency Fiscal Admin, and Program Admin
- Fixed various EAR group designation logic issues to ensure students are being reported accurately
- Updated the Zip Code field in the Family record and CAPSDAC report to automatically insert a hyphen after the fifth digit to prevent users from having to manually add the hyphen in and ensure the report can be successfully submitted
- Added an FEIN/SSN field to the site record to allow agencies to enter these values for providers that operate within their FCCHEN
DRDP Enhancements
- Allow users to create multiple DRDPs in the same rating period for different age groups
- Added a filter to the Observation pop-up modal to show DRDP assessments with the selected rating period(s)
- Modified column titles and logic in the DRDP Online export file to ensure they align with the DRDP Online template and upload successfully to DRDP Online
Fiscal Enhancements
- Allowed credit templates to be marked as inactive
- Added two new filters to the Finance > Family Accounts record, including "Family Status" (Active/Inactive) and "Balance" (Positive, Negative)
Staff Enhancements
- Added new "Certificate" types on the Staff Education record
- Added fields to the Staff Education "Degree" record to accommodate CAPSDAC requirements
- Added the CLASS Environment Pre-K-K Certificate Type as an option on the Staff Education record
- Added CLASS Pre-K-K as another section in the Staff CLASS record for staff who are assigned to approved assessments
Fixes and Adjustments
- Fixed an attendance issue regarding ASES/ELOP to ensure that parents are only prompted to provide a reason for early or late release based on the session start/end time
- Fixed an issue with Contracted Care days not being marked when students are signed in on days they are unscheduled for
- Updated the Parent, Student, and Other Child records with a new "Include in Family Size" field to allow staff to exclude certain family members from the family count, such as when a child turns 18 years old
- Added functionality that allows staff to inactivate batches of students at one time in the All Students grid using the new "Update Status" button, such as when a group of children moves on to Kindergarten
- Fixed an issue with Family Income not showing up on the CCD26 or Child Care Certificates
- Updated the logic for the Application for Services view for "Need" and "Employment/Training Information"
- Fixed the sorting logic for the "Date" column on various grids to ensure staff can sort data according to dates accurately, such as on the "Entry Date" for students on the session record and the "Date of Birth" for students on the agency's Students grid
- Fixed an error users with the role of Intake & Eligibility Coordinator received when trying to create a new schedule from within the Family Contract area
- Updated the Immunization logic to ensure IEP/IFSP exemptions take precedence for the HIB dose
- Updated the Professional Development grids to only show active staff
- Fixed the "Referral To" drop-down field in the referral creation form to ensure applicable values are listed
- Added validation to help prevent users from accidentally adding the same child or parent to an existing family record
- Added a new column titled "Consent to Self-Sign" to the Students grid to allow staff to export this data for all students
- Added a new column option titled "Site License Name" to the All Sites grid
- Updated the permissions for the Family Caseworker role to give "View-Only" access to the Subsidized Certification and Family Contracts documents
- Fixed an issue with attendance downloads to ensure time-in and time-out time stamps are always present when there is data in the attendance logs
- Fixed the "Back to Grid" button when viewing a Family Contract from a family application to redirect users back to the Enrollment Process tab
- Fixed the Applications and Waitlist grid to ensure the family's site selection(s) always show in the grid
