Attendance Enhancements
- There are new updates to the eSignature History Excel and CSV downloads available on the student record and session record. Absence records are now included in the history report as their own row (before only students that have been marked as Present were included on the download). Five new columns have been added to the downloads as well to help manage the data more efficiently: Site ID, Session ID, Attendance Status (Present/Absent), Absence Type (Excused/Best Interest/etc.), and Absence Reason.
- Relabeled the "Admin Signature" field in the Manage Absences modal to now be "Staff Signature" to better represent the individual who may sign off absences
Family Application Enhancements
- When staff "Invite Families to Re-Apply" and send an email message to the parents, the emailed message will be stored in the "View Email History" of the application record to ensure this communication is documented
- When creating a "Custom Family Application" within an Agency Program to allow families to apply to the program, we fixed an issue regarding the Start and End dates for when the application will be "Open" to parents applying in the portal, to ensure the initial dates selected are preserved when the application is saved
CAPSDAC Report Enhancements
- Updated the "Staff Data" portion of the CAPSDAC Report to exclude staff whose "Date First Hired At Agency" is after the reporting period - for example, if the date they are first hired at the agency is entered as 3/15/2025 and the report period is for February 2025, then this staff will be omitted from the report
- Updated the "Staff Data" portion of the CAPSDAC Report to include several new "Degree" codes for the following: Masters Plus 30, Fifth Year, and Special. The Masters 30 Plus will be a checkbox option available within the "Masters" degree type, and the Fifth Year will be a checkbox option available within the "Bachelors" degree type. The "Special" degree will be its own degree type in the "Level" drop-down.
- Updated the "Staff Data" portion of the CAPSDAC Report to include the credential option "Teaching Credential" as a "Permit" code 11 in the report
New Site Staff Role
- Added a new site-level role titled "General Site Staff" that serves as an option to assign to site staff who only need to access their staff profile. This role will link the staff record to the site for reporting purposes and will allow the staff to log in and enter information on their staff profile, including demographic information, contact information, education or professional development activities, and other staff-related information. Please note that staff assigned this role will have no other permissions or access in your system outside of their own staff record.
Meals & Snacks Enhancements
- The "Meals and Snacks Report - with Reimbursement Rates" (found within the Data Tools > Reports > Meals & Snack area of the system) was updated to include meal counts for children who have no attendance data. Previously, only children who had been marked as Present or Absent would be included in this report.
General Student Enhancements
- In the Special Needs area within a student's record, we have updated the tooltip on the IEP/IFSP "Expiration Date" field to more clearly define the field's purpose, which is to signify that the child's IEP or IFSP has ended on the selected date. This means that the child will no longer be considered in the "Exceptional Needs" category past this date in attendance reports.
- We have added a new column on the All IEPs & IFSPs grid labeled "Next Meetings" that lists all of a student's IEP/IFSP Meeting Types with Dates. A new filter has also been added for this Meeting data to more easily manage the IEP/IFSP data.
- Fixed an issue with the "Update Family/Student Status" modal when inactivating students that allows users to select a "Drop Date" for any active schedules to ensure the selected Drop Date is not before the schedules' "Start Dates"
Fixes & Adjustments
- The text storage size of the NOA's custom note has been increased from 1000 characters to 1500 characters, allowing staff to add notes up to 1500 characters in length
- Fixed an issue on the site and session level Child Referrals and Parent Referrals grids that blocked users from seeing the action buttons (edit, view notes, delete, email referral) in the "Actions" column of the grid
- Added email address validation to ensure invalid characters cannot be used to create parent portal accounts or be entered as the email address in many places within the system - this fix addresses the errors that staff may have received when trying to send emails or messages to parents from the "Messaging" feature in Hubbe
- Added a new column titled "Household ID" to the All Schedules grid at the Agency, Site, and Session levels to help users more easily manage their data - please note that this column is hidden by default
- Updated the "Family Data File" download that is available from the household record to include the family's approved EED-9600 form(s) (if any)
