NEW Student Health Enhancements

In Saturday's update, we're releasing significant changes to the Student Health menu item. We've created a separate article to provide a detailed list of changes that you can expect. Click on the link below to access this article:

Here is a summary of the changes we'll be making:

  • Updated the "Physician's Report and Immunizations" menu item to just Immunizations
  • Created a new menu item labeled Current Health Conditions that will now store all health condition and medication data
  • Created a new "Documentation" table under each student health condition for users to manage these documents
  • Added new "Health Plan Start Date" and "Health Plan Expiration Date" fields to the "Current Health Conditions" page
  • Added a new column and filter for "Health Plan Expiration Dates" on the Physician's Report and Health Alerts grid
  • Added new fields to the child "Medication" records, including all fields that exist on the "Centrally Stored Medication and Destruction Record (LIC 622)"
  • Created a PDF download of the Centrally Stored Medication and Destruction Record (LIC 622) on the new Current Health Conditions page


New "Enrollment Counts by Adjustment Factor" Report

  • We have created a new report tab in the Enrollment Dashboard, titled Enrollment Counts by Adjustment Factor. This tab will provide enrollment counts for each adjustment factor on the day selected in the report filters. You will first need to select the "Report Type" (CDE or CDSS) to generate the report, and can then apply additional filters, such as all your CSPP contracts in the "Contracts" filter when generating your CDE report. Users will be able to click within any category and view a list of the students that make up that count, as well as export that list as an Excel. If your agency/center has the "Agency offers mental health consolation services" enabled in Agency Preferences, the report will be broken down into two tables, MHCS and Non-MHCS. We hope this report provides your team with an easier way to track enrollment counts by category to ensure you are meeting contract expectations.



More Enrollment Dashboard Enhancements

  • Added a new "Filter Presets" option within the Enrollment Counts by Session tab of the Enrollment Dashboard record. This feature will allow users to create, update, or delete filter presets to easily manage data within the grid.
  • Within the Enrollment Counts by Session tab of the Enrollment Dashboard record, we have updated the title of the column "Transfers" to "Transfers Out" to clarify that this is a count of students transferring out of the session to another session.
  • Within the Enrollment Counts by Session tab of the Enrollment Dashboard record, we have updated the logic of the "New Enrollments" column to count students based on the date entered in the field titled "Date the child started at this agency" found in the student record's "General Information" area.



Family Application Enhancements

  • We've updated the logic of which Agency Programs are listed in the "Programs We Offer" section of the "Start" tab in the family application for parents to view. Now, only programs that have at least on application year "open" will show on this tab. Staff can enter the "open/close" dates of an application year within the Agency Program > Customize Application settings.
  • We've also updated the order in which Agency Programs are listed in the "Programs We Offer" section of the "Start" tab in the family application. Programs will now be listed alphabetically.



Student Schedule Enhancements

  • Users can now delete a schedule tied to an Application for Services or Notice of Action if either document has a "completed" status. Previously, if a schedule was used to create an Application for Services or NOA, you could not delete the schedule.
  • In addition to the update described above, we have updated the "Inactivate Student" modal in which staff can select a "Drop Date" and check the option to "Delete future schedules for this student" so that users will be notified in a tooltip that only future schedules that are not tied to billing items, attendance data, or incomplete certification forms will be deleted.



Meals & Snacks Enhancements

  • Added a new column in the Meal Counts modal at the session level titled "Time Served." This column will time-stamp when staff marked a meal as served for each student in the modal.



  • Added a new red badge titled "Served Outside Meal Time" that will appear on the meal card (AM Snack, Lunch, etc.mealtime) if a meal is served outside of the meal time - this badge is also visible on the agency-level View Live Meal Counts record so staff can easily see if/when meals are served outside meal time.



  • Updated the CACFP Eligibility determination logic so that any student who is scheduled to one of the following subsidy types will be marked as "Free" in the "CACFP Monthly Roster" grid and download: Head Start, Early Head Start, Migrant Head Start, Early Migrant Head Start, CMIG, CMAP
  • Added an "All" option to the "Show entires" drop-down on the CACFP Monthly Roster grid. This will allow staff to filter for their desired set of students, show "All" in the grid, select all students, and then download the "Monthly Roster" report to include all filtered students in one download.
  • Within a household's CACFP Eligibility record, we have updated the CACFP "Manual Eligibility Override" record to ensure the start date and end date are never more than one (1) year apart.
  • Fixed an issue with the "CACFP Eligibility Code" filter found on the "CACFP Monthly Roster" tab of the Meals & Snacks Data record, to ensure that the selected eligibility type (Free, Reduced Price, Base) pulls all students with that eligibility type.


801A/B Report Enhancements

  • Updated the 801A/B Report (found within Agency Menu > Families and Parents) to optimize the report's performance for users. There will now be a "Report Type" filter with options for 801A and 801B (defaults to 801A). The filter to select CDE or CDSS and funding contracts will be re-labeled as "Funding." Users will be required to select the "Report Type" and "Funding" selections in order to run the report. If users are running the 801B report, must also select at least one "Household" to run the report.



Fixes & Adjustments

  • Added functionality to the "Filter Presets" feature within the Enrollment and Attendance Register (EAR) report that allows staff to remove/delete presets that were previously created. This new functionality will slightly change the way that staff manage filter presets from the EAR report.
  • Updated the EED-9600 form (located within the "Application for Services" tab of a family's Subsidized Certification record) to include a new Eligibility item titled "Child(ren) with Disabilities (Child Eligibility)." This eligibility item will be checked if any of the following are met: any student included in the form has an IEP or IFSP, or if the family has either "Exceptional Needs (CSPP Only)" or "Programs for the Severely Handicapped" selected as household eligibility.
  • Updated the Income Declaration form to ensure that only students included in the family size will be listed in the "Students" section.
