New Program Year Resources

We are excited to announce the creation of new tutorial videos on how to set up your agency for the new program year. We recommend completing the steps listed in the table below each year. These new resources are now available under Help > Instructions & Training Videos on your Agency Programs menu item.

New DRDP Online Upload Grids

  • We are excited to share the new DRDP Online Uploads record, available in the Agency Menu's DRDP sub-menu. We have transitioned the DRDP Reports that previously lived in the "Reporting" area to their record in the Agency Menu, with tabs for Users Upload, Class Upload, and All Instrument Child and/or Ratings Upload
  • You can now easily view any errors for students listed in a tooltip in the "Errors" column of the All Instrument Child and/or Ratings Upload, and manage those errors before uploading. 
  • Simply click the "Export Upload File" button any each tab to export your report in the exact file format that is ready for upload to DRDP Online. We hope these new grids serve your team well!



DRDP Enhancements

  • Updated the logic behind DRDP creation to automatically select the Fundamental view type for any students with an active IEP, regardless of the agency-selected default view type for the student's session
  • Updated the session's DRDP rating tool for teachers to ensure all applicable measures are shown for the selected students' DRDP view types, with "N/A" showing if the measure does not apply for a student's view type. 
    • For example, two students are selected to show in the session DRDP rating grid, one with a view type of Essential and one with a view type of Comprehensive - all the measures for the highest level selected, in this case being "Comprehensive" will display in the grid, with "N/A" being displayed for the measures that are not included in the Essential type for the student with the Essential view type.
  • Added a new option to toggle between the view types in the DRDP Observation modal. For example, if the DRDP Level is PreK, then the DRDP Observation modal will allow staff to toggle between Essential, Fundamental, and Comprehensive view types - selecting any options will display all the measures included in that view type. 
    • This update was implemented to allow staff to create DRDP Observations for many students at once, even when the students selected have different view types. The modal will default to select the view type for the highest view type included in the selected students for the observation. For example, if two students are selected and one has a PreK Essential and the other child has PreK Fundamental, then the Observation modal will default to show the Fundamental measures. However, staff can easily manage the selected students or toggle between view types if needed.



CACFP 25-26 Income Eligibility Guidelines

  • We have implemented the new 2025-2026 Income Eligibility Guidelines released by CACFP. Staff can now select the Program Year 2025-2026 when creating a Meal Benefit Form, which will look at the new income guidelines when determining student eligibility codes.



Provider Enhancements

  • We have added a new role titled "FCCH Provider" that will only appear in the Site Staff card as a role option if the following conditions are met:
    • (A) Provider Invoicing is enabled in Agency Preferences, and 
    • (B) The site has an Early Learning Setting of FCCH
    • > If both of these conditions are met, then users can assign the role of "FCCH Provider" to a staff account for the site. This role serves as both a title and will also include the staff member in the list of staff who can be assigned as the Provider to feed into the Subsidized Provider Report (SPR) (please refer to the next bullet point for more information on how to assign a staff as the Provider for the SPR).



  • We have made a few changes and additions to the "Participating Providers" tab within the Provider Settings record to better reflect the fields and function of the tab.
    • Users will be able to click "Add Sites" to add Participating Providers, and then assign a staff account as the "Provider" for that site. The staff account assigned as the Provider for each site will be sourced to feed the Subsidized Provider Report for each site, including the Provider Name, Provider Work/Cell Phone Number, and Provider Email Address in the SPR. Each site will include a list of staff assigned either the role "FCCH Provider" or "Site Admin" at that site.
    • In the "Participating Providers" tab of the Provider Settings record, we have updated the modal that opens when users click "Add Sites" to be a multi-select grid that will list the sites' ID, name, location/address, and Early Learning Setting. Users will be able to use the "Search" field to search for a particular site, or can "select all" sites at once to add as Providers.



  • Updated the Provider Statement to display the entered PO Number with the added prefix of "PO" - for example, if the PO Number entered is "1234", then it will appear as "PO1234" on the Provider Statement.
  • Updated the label on the Funding Contract from “Used in Provider Payments” to say “Funds from this contract/grant are used for provider payments.” This option will still function the same in adding the Account Code for the contract in the Provider Statement.
  • Within the Provider Rates Setup record, when editing a Provider Rate, we have added a "Select All" option in the "Sites" drop-down field so that users can easily add all sites with one click, if needed.
  • For systems that have Provider Invoicing enabled, there is a "Provider Rate" field selection in the student schedule modal. We have now added the "Provider Rate" field to the "Change Scheduled Hours" modal so that users can easily assign a Provider Rate to a schedule when changing scheduled hours.


Family Application Enhancements

  • Updated the Family Application Intake process so that any Unpaid registration fees assigned to the application will be applied to any outstanding credit the family has in their household account. For example, suppose the family has a $50 credit balance in their household account and a $50 unpaid registration fee on their application. When that application is intaken, the credit will be applied towards the unpaid registration fee to bring the family's balance to $0.
  • Updated the student card view in the Family Application to display the child's Middle Name, if provided, both on the staff and parent side.



Meal Count Enhancements

  • Added a new column for "Student ID" placed next to the student's "Name" on the Daily Meal Counts template download available from the session-level "Meal Counts" record, as requested by users.



801A/B Updates

  • Updated the 801A and 801B Reports to only include students who have at least one scheduled operational day within the report month. If the student is not scheduled for at least one day of the month, they will be excluded from the report for that month. Please note that this does not have to do with attendance data; this is solely based on enrollment days.


Head Start Updates

  • Fixed issues with Head Start PIR sections A.9.a, A.12, A.13.b, and A.20.b


Fixes & Adjustments

  • Updated the student Emergency Card download to only show the IEP/IFSP badge if the child's IEP/IFSP record is active. Once the IEP/IFSP Expiration Date has passed, the badge will be removed from the child's Emergency Card download.
  • Fixed an error that users were receiving when trying to edit the fields within the Finance > Finance Settings > Billing and Payments tab. Now, users will be able to modify the fields within the edit modal in the tab and save their changes, such as for the "Payable To" line on Billing Statements.
