801A/B Report Enhancements
- Moved the 801B Report to now be available under Agency Menu > Families and Parents > 801A/B Report. Please note the 801B Report is no longer available within the "Subsidized Reports" tab of the "Reporting" area
- The 801B Report now available within the 801A/B Report grid can be generated by selecting the "801B" column option - this will automatically display all and only those columns included in the 801B Report. Likewise, selecting the "801A" column option will display all and only those columns included in the 801A Report. Please note that the "TXT" file will only ever provide the 801A report version, since this file type is not needed for the 801B, but you can click "Excel" to export the 801B report from this grid.
- Additionally, we have added a new filter to the 801A/B Report grid titled "Households" which will allow users to filter the grid for selected household(s) when generating the 801B Report for the required families
- Fixed an issue with the "Total Hours of Care" column to ensure the following logic is used when calculating this value: for fixed schedules, this value will be determined by multiplying the "Total Hours Per Week" of the schedule by 4.33; for variable schedules, actual attendance data will be accumulated to report the number of hours the student was signed in for services during the selected reporting period
PLIS Report Updates
- Updated the PLIS Report to account for the following two data issues that staff encountered when trying to submit their report to CDMIS:
- (1) When a student is assigned and scheduled to more than one household, they will now be reported in two rows, one for each household, with the parent marked as Parent A for each household listed in their applicable row
- (2) If a student has more than one Family Language Interview record created, the system will look to the most recently completed interview record for language codes to ensure duplicate codes are not reported
Enrollment Dashboard Enhancements
We have made several improvements to the "Enrollment Counts by Session" tab of the Enrollment Dashboard to better assist your team with tracking enrollment counts, including the following:
- Updated the column previously titled "Currently Active" to now be "Active Students" - this column will list the count of active students during the filtered date range for that session. Please note, a student with more than one schedule for the session during the selected date range will only be counted once. Additionally, if a student has a schedule "End Date" that is before the selected "End Date" filter then they will not be included in the counts.
- Updated the column previously titled "Spots Filled" to now be "Total Enrollments" to better reflect the data field
- Moved the "Site ID" and the "Site Name" columns to the far left of the grid, followed by the session details
- Added a new column titled "Session Full Name" which will display the name entered into the "Session Full Name" field on the session record - this column will be hidden by default
- The following update will only apply to systems with the "Site Region" enabled in their Agency Preferences: Added a new column titled "Region" which will display the site's selected region
- Added a new column selection in the "Columns" drop-down titled "Custom Fields" - this will allow users to display any custom fields set for session records in this grid and in the export
Family Application & Waitlist Enhancements
- Updated both the "Student Age" and "Birth Date Range" filters on the Applications & Waitlist grid to only look to enrolling children so staff can ensure filtered data only pertains to children who are enrolling in the applications
Attendance Enhancements
- Updated the Monthly eSignature Attendance Sheet feature to allow staff to send attendance sheets to parents requesting their signature for any month in the current school year or up to 4 months back if obtaining signatures for the previous school year
- Updated the Staff Hubbe mobile App to allow staff to access the eSignature Attendance portal from the Actions > Open eSignature Portal button on the "eSignature Attendance" record so parents can sign their children in/out
Fixes & Adjustments
- Fixed an issue with the "Household" field within a student's schedule record to ensure staff can select and assign a household the schedule and its associated fees when a student is assigned to more than one household. This will also help users transfer over fee details to a new household in the event that an inactivated household record is assigned the schedule and its fee(s).
- Updated some field labels in the CLASS Pre-K 2.0 Assessment type to ensure the fields all align with the CLASS edition, such as "Format Majority" re-titled to "Content Focus" and "Content Ratings" re-titled to "ASI Rating"
- The CLASS PreK 2.0 PDF download has been updated to reflect the number of cycles chosen to assess. If only 3 cycles have been selected to assess, for example, then the download will only show information for cycles 1-3
