TABLE OF CONTENTS


New CLASS Environment Infant-Toddler Type

  • We have created a new CLASS assessment type titled "CLASS Environment Infant-Toddler." This new assessment type will allow staff to report on the Emotional and Behavioral Support and the Engaged Support for Learning items within the Environment Infant-Toddler assessment. 


    Please note that the CLASS assessment type previously labeled "CLASS Environment" has now been re-labeled to be "CLASS Environment Pre-K-K" to more clearly distinguish the two types of Environment assessments - all pre-existing CLASS Environment assessments will remain as-is other than the title of its type. 




CLASS Enhancements

  • Added a new column to the CLASS Assessments grids at all levels titled "Created At" which will either display "County" or "Agency." This column will provide an easy visualization of which CLASS records were created by agency staff versus county staff. 
  • Updated some field labels in the CLASS Pre-K 2.0 Assessment type to ensure the fields all align with the CLASS edition, such as "Format Majority" re-titled to "Content Focus" and "Content Ratings" re-titled to "ASI Rating"
  • The CLASS PreK 2.0 PDF download has been updated to reflect the number of cycles chosen to assess. If only 3 cycles have been selected to assess, for example, then the download will only show information for cycles 1-3


CDF Enhancements

  • Added a new "Exit to Home Page" button on the CDF Wizard page so users can easily exit the wizard at any time and return to their regular staff account portal
  • Added a new "Back to Agency" button on the CDF Wizard page so users can easily return to the Agency overview page of the wizard portal where all sites that are assigned to the wizard will be listed



  • On the CDF Wizard, we updated the "Student Counts" and "Student Served Counts" to now read "Child Counts" and "Children Served Counts" respectively
  • Updated the site's CDF Wizard to exclude the count line titled "Alternative Sites Only: Estimate of Children served/reached annually" from the "Children Served Counts" table for the following site types: Center-Based, FCCH, and FFN. This count line will now only appear for sites that are "Alternative" in the CDF Wizard.
  • Within the "CDF Validation Settings" portion of the "CDF Wizard Settings" tab on the CDF Wizard Management record, we updated the logic of the setting titled "Count of all child languages spoken must be equal to the total number of children enrolled." This setting affects both the "Language Counts" and the "Dual Language Learners" counts within the "Child Counts" section of the wizard. If set to "Yes" then wizards will be validated for the following logic: 
    • Language Countswizards must enter the exact number of preschoolers in the "Language Counts" area that are entered in the "Children Served Counts" area. For example, if there are reported to be 40 preschoolers served at the site, then the "Total" amount allowed entered in the "Language Counts" area must equal 40, as well.
    • Dual Language Learners - wizards must enter a count of Dual Language Learners that is between the identified number of preschoolers who speak a language other than English within the "Language Counts" area and the total number of preschoolers served within the "Children Served Counts." For example, if there are reported to be 40 preschoolers served at the site, then the maximum allowed entry for Dual Language Learners will be 40. If there are 25 preschoolers entered in the counts for languages other than English or Unknown in the "Language Counts" area, then the minimum allowed entry for Dual Language Learners will be 25. Accordingly, in this example, wizards must enter a value at or between 25 - 40 Dual Language Learners. 
  • To the Agency Overview page within the CDF Wizard, we have added a new field titled "Executive Director" to which wizards can assign an Executive Director, in addition to the "Agency Program Director" that was already in the wizard.



  • Updated the email message that CDF Wizards receive from the CDF Wizard Management grid to show the wizard's login credentials (username, password) before the email message/body. This update came from a request from users to better display/share login details in the email that were sometimes lost at the end of lengthy email messages.
  • Updated the "Notes / Email History" feature for site wizards on the CDF Wizard Management record to ensure that all email communication with assigned Wizards and QR Code Users is tracked and stored in the notes. This update came from a report that the "Send QR Code Email" option would only track and store the first email sent, but not any follow up reminder emails.
  • Created an new option to "Unassign QR Code Users" from site wizards on the CDF Wizard Management Grid - please note that the QR Code emailed to users will still be active until the status is set to "Not Started" for that site



  • Added a new "View Staff Profile" option to the assigned CDF Wizards and QR Code Users for a Site Wizard on the CDF Wizard Management grid. This will allow users to easily navigate to the staff record of those assigned to the wizard.
  • On the CDF Wizard Management grid, we have updated the "QR Code Staff" column to display more information about the staff assigned as QR Code Users, including their full name, email address, and preferred language. This will mirror what already existed for the "CDF Wizard Staff" column.
  • On the CDF Wizard Management grid for both the "CDF Wizard Staff" and "QR Code Staff", we have added an option for users to "Edit Staff Email" in the drop-down list for any assigned staff. Now, users can easily modify a staff's email address right from this grid.



  • Updated the QRIS Site Rating columns (QRIS Rating Status, QRIS Tier Rating, QRIS Rating Score) of the CDF Data Management grid to shows statuses Not Started, In Progress, and Complete based on the following logic:
    • Not Started - This status will show if the site has no site rating record, or has a site rating record without any "Certified" Elements (Note: Sites with this status will not be able to be added to the CDF XML Report)
    • In Progress - This status will show if the site has a site rating record that has one or more Elements marked as "Certified" but is not fully completed/certified (Note: Sites with this status will be able to be added to the CDF XML Report)
    • Complete - This status will shows once a site rating record is completed, with all "Certified" Elements and a "Site Visit Date" entered (Note: Sites with this status will be able to be added to the CDF XML Report)



  • Updated the columns of the CDF Data Management grid relating to a site's CLASS assessments so that the cells are green for a QRIS site that has an active Site Rating record that includes CLASS data.
  • Added a new column to the CDF Data Management grid titled "Single License Child Care Center." This new column will display the license number if the site has a Single License Child Care record, and will satisfy license requirements.



Site Rating Enhancements

  • Updated the Site Rating record to require both the "Certified Date" and "Date of Expiration" when marking a rating as "Certified." This will ensure the rating is used in the CDF Report and that all required fields are entered upon certifying.


QIP Enhancements

  • Fixed an issue with the Spanish version of the QIP download so that users can successfully download both English and Spanish versions
  • Added the "Progress" percent for each entity assigned to a QIP (agency, site, session) to the "All QIPs" grid at every level, appended to the name in the "Participating Agencies/Sites/Sessions" columns
  • Added a new column to the All QIPs grid titled "Days Past Due." This column will display the number of days past the QIP's due date assigned to the organizations/entities assigned to the QIP. If the QIP has more than one entity assigned to it, then the Due Date will not appear on the first tab titled "QIP Goals" but it will always appear on the second tab titled "All Participant Organizations."



New Staff Education Types & Enhancements

  • Added new filters to the Staff Education grid within the "Degrees" and "Permits" tabs. The Degrees tab will now have a "Degree Level" filter that allows users to filter for staff with selected degree types. The Permits tab will now have a "Permit Type" filter that allows users to filter for staff with selected permit types.
  • We have added new/updated several Staff Education records including:
    • Added a new Permit type titled "Emergency Specialist Teaching Permit in Early Childhood Education"
    • Added a new Permit type titled "Emergency Transitional Kindergarten Permit"
    • Added a new Credential type titled "PK-3 Early Childhood Education (ECE) Specialist Instruction (Preliminary)." Please note that this is a new option, and the option previously titled "PK-3 ECE Specialist Instruction" will now be re-titled to be "PK-3 ECE Specialist Instruction (Clear)" - any staff with this Credential created before this update will be automatically appended with "(Clear)" in the title.



Coach Log Enhancements

  • Updated the "Pathways" field within a Coach Log record to be a multi-select field so users can now select more than one Pathway in a Coach Log.



Coaching Enhancements

  • Updated the Coach Menu items available to users assigned the role of "Coach" so that the sub-menu for Staff now includes the recently created Staff Education and Staff Professional Development roll-up grids for all case loaded staff. These new grids will replace the records previously available in the Coach Menu > Staff sub-menu, including Pending/Denied Education, Pending Coursework, and Pending PD.



Agency Application Enhancements

  • Fixed an issue in which the Agency Application's invitation email was not using the customized invitation email template as the default subject line and body message.
  • Updated the drop-down fields in the Agency Application to ensure the options listed in the drop-down also translate to the Language selected in the translate tool.


Stipend Enhancements

  • Updated the Stipend Application Portal to allow applicants to view their application even after it's been "Approved." This update came from a report that applicants could no longer view their application once it was approved.
  • Updated the drop-down fields in the Stipend Application to ensure the options listed in the drop-down also translate to the Language selected in the translate tool.


Fixes & Adjustments

  • Added two new columns to the All Sites grid and the CDF Data Management grid to surface data for each site about how many teachers have a WFR ID. The new column titles are: Number of Teachers with a WFR ID, and Percentage of Teachers with a Workforce Registry ID. These columns will be shown by default on both grids, and will surface the number and percentage of staff who have a WFR ID and have any of the following roles assigned at the site: Site Supervisor, Lead Teacher, Teacher, Instructional Assistant.
  • Added a new "Unique Identifier" field to the site record within the "Site Information" edit modal that allows users to enter a site ID that may link the Hubbe site record to a record in another data system
  • Added a new column titled "Site Unique ID" to the All Sites grid at the county-level. This column will display any values entered in the field "Site Unique ID" on a site record, which was added to the system recently.



  • Fixed an issue with the multi-select action "Send QR Code Email" within the CDF Wizard Management feature to ensure all sites that are selected will have QR codes generated for and sent out to applicable site staff
  • Updated the home page for many county roles that displays all the agencies in their respective tabs (Center-Based, FCCH, FFN, Alternative, Unknown) so that the agencies only show in a tab for active sites. For example, if an agency has one FCCH session that is made "Inactive" then the agency will be removed from the FCCH tab.
  • Within the "QRIS/CDF" tab on the site record, we have updated the table previously titled "Local QRIS Terminations/Transitions" to now be "Local Program Tracks." The local program track records added here will now also have a new "Funding Amount" field in which users can enter the funding amount for that track. This information will be shown on the "All Sites" grid.
