2024-2025 CA CDF Report Is Now Ready to Upload to the State
- The new CA CDF XSD was received from the CDE team in May. These are the updated validation rules for the 2024-25 program year. The Hubbe Team has finished all work related to updating the Hubbe CDF XML download to match the new state CDF XSD for the 2024-25 report. We also tested a few data sets on the state's website and found no issues. CA County Hubbe users are now able to upload 2024-25 CDF data to the state's website. NEW 2025-26 CA QCC Rating & Quality Continuum Framework Matrix
- We have developed the new CA QCC Rating and Quality Continuum Framework Matrix for the 2025-26 year. All sites participating in the CSPP QRIS Block Grant will be required to be rated using this revised matrix that only rates on Element 4b: Effective Teacher-Child Interactions. The data for this element has been revised to match the state's matrix and will only pull in CLASS Assessments using the CLASS Pre-K 2nd Edition and CLASS Environment.
IMPORTANT - All systems will continue to use the previous framework until each county is ready to switch to the new version. We want to make sure all counties have enough time to enter remaining 2024-25 rating data before switching the system to the new version for this upcoming program year. Please reach out to our support team when you are finished with all rating for this program year and are ready to switch to the 2025-26 matrix. CDF Enhancements
- Updated the CDF Data Management grid to ensure that all sites marked as "Family, Friends, and Neighbors" (FFN) have grey cells (meaning not required) for the funding columns, but will turn the Voucher-based columns as all green (meaning validation is satisfied or data is entered) if any of the voucher-based columns are marked as "Yes", including the columns: CalWORKs, Alternative Payment, CMAP, Other Voucher Program, and Number of Voucher Payments.
- Added new fields to the site's CDF Wizard and Site Record info card for additional Phone Number data, including: Extension (for the original "Phone Number" field), and Site Cell Phone Number.
- We have added these fields because we noticed extension and cell phone numbers were being entered into the same cell as the "Site Phone Number" field. In order to ensure the Site CDF Data passes validation checks in the CDF XSD, the extension and cell phone numbers must be entered into their own cells. Please review your CDF data to ensure the original "Phone Number" field only includes the 10-digit phone number and any extension is added to the new "Extension" field. These fields are optional, and will only display on the view cards if data has been entered for them. We hope these (2) new fields will also assist program managers with more complete data on how to reach out to site staff.
- Updated the CDF Data Management grid to ensure the "Excel" exports include every column from the grid, such as the "QRIS / QI Only" column which was reported as missing from the Excel.
- Updated the CDF Wizard on the Agency level where "Executive Directors" can be added to the agency card to allow users to add more than one Executive Director, as well as add a new staff member that is not already in the drop-down list.
NEW Setting to Disable Agency Staff from Approving Education/Professional Development Records
- Added a new setting to ensure Agency Staff will not be able to approve/deny Staff Education and Staff Professional Development records. When disabled, Agency Staff will only be able to create new degrees, permits, workshops, etc. to their staff record, edit the pending records, or delete pending records - but once it has been processed by County Staff (Approved or Denied), then Agency Staff will only be able to view the record.
When disabled, Agency Staff will also only be able to export the following import/export types, and will be restricted from importing them: Education, Education Course, Professional Growth Goals, Professional Growth Activity, and Professional Development.
IMPORTANT - Upon release of this update, all QRIS systems will automatically turn this setting on to disable Agency Staff from approving Education or Professional Development records. This work is part of the Hubbe Team's efforts to prepare to support functions that were previously completed in the CA WFR System. Reminder - NEW Survey Manager Role
- As a reminder from our last release notes announcement, we have created a new role titled Survey Manager, available as a County level role. A staff account assigned the Survey Manager role will have full access to the Staff Survey features, including creating, editing, or deleting a survey, as well as inviting staff to participate, viewing responses, or even managing a staff's account to support login of participants.
Fixes & Adjustments
- Updated the email message sent to the selected user upon importing a file in Hubbe using the Import tool. The email message will now include details about the import, such as the number of records updated or created, as well as the errors for specific rows in the import.
- Fixed an issue on the CDF Wizard Management grid to ensure that the assigned Wizards and QR Code Users are not duplicated within a site's row.
- Fixed one area within the CDF Wizard's Child Counts section to ensure that the "Edit Child Counts" page correctly automates the children's "Demographic Counts" to prevent double-counting children.
