TABLE OF CONTENTS


Chronic Absence Report Enhancements

  • Updated the Chronic Absences Report to support programs with comprehensive absence reporting. The following updates were made to enhance this report:
    • Added many new columns, including:
      • Excused - This column will display the number of absences that were processed as "Excused" for the child during the selected report dates.
      • Best Interest - This column will display the number of absences that were processed as "Best Interest" for the child during the selected report dates.
      • Unexcused - This column will display the number of absences that were processed as "Unexcused" for the child during the selected report dates.
      • Unprocessed - This column will display the number of absences that have not been processed for the child during the selected report dates.
      • Unexcused Absences Percentage - This column will show the percentage of Unexcused absences out of the enrollment days selected for the report. This is different from the "Absences Percentage" column in that it shows the user specifically which percentage the Unexcused absences make up.
      • Chronically Absent (Unexcused) - Based on the previous column "Unexcused Absences Percentage" amount, this column will show "No" if the percentage of Unexcused absences out of report enrollment days is 7% or below, "Approaching" if it is 8% or 9%, and "Yes" if the percentage of Unexcused absences is 10% or higher.
      • Most Common Absence Reason - This column will display the child's most common absence reason for all processed absences.
      • Current Consecutive Unexcused Absences - This column shows the most recent data for consecutive Unexcused absences. These counts are provided to assist agencies with tracking unexcused absences for Abandonment of Care. Rather than looking to the filtered report dates, this column will start with the current day and work backwards to count how many consecutive days the student has an "Unexcused" absence - if any sign-ins occur between the consecutive "Unexcused Absences" and the current day, then this will bring the count back to 0.
    • Added two new filters, including:
      • Chronic Unexcused Absence - Just like the "Chronic Absences" filter previously available, this allows staff to filter for children approaching or reported as chronically absent, but specifically for "Unexcused" absences only.
      • Unexcused Absence Percentage - Just like the "Absence Percentage" filter previously available, this allows staff to filter for children within a determined range of absence percentages, but specifically for "Unexcused" absences only.
    • Added two new actions to this grid, available within each row's "Action" column for each child that is included in the report, including:
      • Create NOA for [Family Name] - In the "Actions" column, users can click to create a Notice of Action for a family right from this grid, which can assist with a change or termination in service following abandonment of care. Clicking this button will lead the user to the family's "NOA" tab in their Subsidized Certification area in a new tab. If the child is a part of more than one family, both families will appear as options to create NOAs for.
      • Message [Family Name] - In the "Actions" column, users can click this option to message a family from the grid to communicate that their child is chronically absent, and work on an attendance plan moving forward. If the child is a part of more than one family, both families will appear as options to send messages to.
    • Updated the grid to be state-saving, so that users can select which columns to include; that column selection will automatically save to the device of that user.



Head Start Updates

  • Fixed an issue with Head Start PIR Section C46 to ensure that father engagement activities are correctly reported.


DRDP Enhancements

  • We have updated the DRDP Measures rating tool for teachers so that if there is a set number of observations required before rating a DRDP (which can be managed in the Configure DRDP record), users will now have the option to select "Unable to rate this measure due to extended absence" without having to upload observations.
  • We have updated the filters on the DRDP Online Users grid within the "Users Upload" tab to address issues that users were experiencing when uploading DRDP data into DRDP Online. Now, the "Site" filter will list all staff at that site and the sessions at that site. The "Session" filter will list all staff at that session only. When both "Site" and "Session" filters are selected, the grid will include staff from the selected session(s) only.


ASES/ELO-P Updates

  • We have updated the ASES/ELOP Annual Attendance Report to display students who are marked as absent for the entire month. They will show counts of 0 for each month, and the absent days will not be counted towards the Total Attendance Days sum.
  • Fixed an issue with the Late Arrival/Early Release reasons presented to parents or staff when signing a child in late or out early for sessions with ASES or ELO-P funding. Now, staff and parents will only be presented with the late arrival or early release reason field when enabled for their session.


General Enhancements

  • Within the "Program Calendars" tab of an Agency Program, we have updated the pop-up modal for the "Assign Calendar to Sessions" action button so that only active calendars appear as options in the drop-down. We have also added a search field so that users can easily search for a calendar's name if the list is long.
  • Updated the "Remittance Note" portion of the Billing Statement to include the note "Reminder: Please include the statement number on your check" (that previously displayed on all statements) in the customizable text box for this section. Now, users can navigate to Finance > Finance Settings > Template Language tab to completely customize the language included in the "Remittance Note to Parents" section of the Billing Statement according to your agency/center's needs.
  • Added the universal "Search" tool in the top grey bar to the "Family Services Supervisor" role so that users with this role assigned can easily search for families, students, and parents in their agency/center.


Fixes & Adjustments

  • Fixed several issues reported by the field when attempting to edit or intake a Family Application
  • On the Manual Attendance record, where teachers can mark students as present or absent, a user reported that some students were not showing their scheduled hours within their cards. We have fixed this issue so that the child's scheduled hours will always show for the schedule that is active on the selected day for that session.
  • Updated the Application for Services Form to ensure all parent employment or education/training schedules that begin in the future will also be included in Section C of the form.
  • Updated the "Purchase Order Setup" tab of the Provider Settings record to ensure the PO Numbers entered for the 24-25 fiscal year were not transferred over into the 25-26 fiscal year.
