New Child Certificate Form Areas

We've created two new areas where FCCHEN programs can manage Child Care Certificate Forms, described below:

  • New tab within a family's Subsidized Certification (CDE/CDSS) Menu Item - Users can now create, view, and certify Child Care Certificate Forms from the family's Subsidized Certification menu item in a new tab called "Child Care Certificates." Any forms created here will also show up in the grid described below.
  • New tab within the "CDE/CDSS Certification Management" Menu Item - We've created a roll-up grid at the agency level within the CDE/CDSS Certification Management area, titled "Child Certificate Forms." Any forms created at the family level will show up here and can be viewed, sent to the portal, or downloaded from this grid.




CDE/CDSS Certification Management Enhancements

  • Added a new "Charts" tool to the grid within the "Certified Families" tab that will display the count and percentages of children by "Eligibility Type." The chart updates based on the grid results, including when filters or searches are applied to the grid.



  • The first tab, "Certified Families," has been updated to be a student-centric grid. Each row in the grid will include a child who is enrolled in subsidized services and their family information. If a child is assigned to more than one household, they will appear twice in the grid if they have a schedule assigned to each household. This update allows for more accurate details about the count of children enrolled by eligibility type.
  • The Certified Families grid now has the following columns: Student ID, Student Name, Student Age, Student DOB, Student Enrollment Date, CDE Rank, CDSS Rank, and Agency Program.



  • The "Site" and "Session" filters were updated to include start and end dates for users to filter for students scheduled to a site/session during a selected time range. We also added a new filter for "Program Name" to allow users to filter by Agency Program.




New Import/Export Portal

  • We've created a new and improved Import/Export Portal. Now, users will enter the "Import/Export Portal" from the "Data Tools" button in the top toolbar. Within the portal, users can select whether they want to import or export data, then choose the type of import or export they'd like to use, including  Agency, Site, Session, Staff, Students, etc.




Agency Program Calendar Download & Updates

  • Added a new PDF download to the Program Calendars record that will display the months of the calendar with color-marked days for Non-Operational Days, Staff Only Days, Full Days of Operation, and K-12 Days of Operation. The download will include the total Days of Operation, Staff-Only Days, and Non-Operational Days by quarter, and the total Days of Operation in each month.



  • Fixed an issue with the 'Search' tool not working in the "Session Calendars" grid.




State Report Enhancements

  • Fixed an issue with the "PreschoolCDSCode" field in the "Staff" tab of the CAPSDAC Report to ensure the field pulls from the associated site's "Preschool CDS Code" field rather than the "LEA Provider CDS Code" field in the site's Boundaries information.



  • Updated the "License Number" column on the CDSS 801A Report to ensure that children who are under 6 years old are eligible for the "Child Care Center | Preschool - serves ages 2-5" license, following a report by many users that the license was not populating for students who were over 5 but under 6 years of age, such as 5 years 4 months old.



  • Fixed an issue with the "Reason for Needing Services" column in the new version of the CDE 801A Report (July 2025 and on version) so that either Parent A or Parent B marked as the Primary Need for the family will populate the corresponding need code - with Parent A's Need being the priority if both parents have a need marked as primary.



  • We have updated the questions for the Family Language Instrument and the Family Language and Interest Interview to include the new question wording released by CDE's Management Bulletin 25-07. Centers operating CDE and/or CDSS programs can use the single template in Hubbe for the Family Language Instrument Survey (4 questions) and Interest Interview (10 questions).



CLASS Enhancements

  • We've added a new "Override" action button to each of the domain score averages in the CLASS Pre-K 2nd Edition type only. Now, users can override a domain score whether the cycles are completely scored or have not been scored at all, and mark the CLASS assessment as "Approved" with the overridden scores. Please note that users can clear out the "Override" scores by editing at least one of the cycle scores, which will recalculate the actual averages. Any CLASS assessments that are overridden will be marked as such in the CLASS Assessments roll-up grid.




Family Application Updates

  • Optimized the Family Application Intake process on the backend to mitigate any potential issues with this action, following user reports of intake issues.
  • Fixed an issue with the student's Medical Home information transferring over to the student record following the intake of a Family Application, including the "Doctor Name" and "Doctor Phone Number" (if included in the application).
  • FFxed an issue with the "Address (Line 1)" field in the Family Application that prevented parents/staff from saving directional letters at the end of the street address, such as "N" for North. Now, users can add the directional letters, such as "123 Maple Drive NW."




General Enhancements

  • Updated various grids across the system to include inactive funding contracts and sessions so that users can continue to generate reports or filter for data that has been made inactive, including: A/R Aging Report, General Ledger, All Schedules grid, and more.
  • Added a new subsidy type that can be assigned to Funding Contracts, called "City-Funded Program" or "City" as the abbreviated version in areas such as the EAR report. Users can now create and assign this funding contract to schedules for programs supported and funded by the city.



  • Implemented a new warning on the Enrollment and Attendance Register (EAR) Report for when a student's attendance events have been duplicated, likely due to an issue during the syncing process from the Offline Attendance App. Now, users will be able to easily identify if a child's attendance events have been duplicated by a red exclamation point beside the day's X on the EAR report. You can click the icon to open a modal and edit the signature history, removing one of the duplicate attendance events.
  • Added a "Referral To" column to the Parent Referrals grids at all levels to allow users to view and export this data on the roll-up grid of referrals for parents at the agency, site, or session level.



  • Alphabetized the order of students (by last name) in the Emergency Card download at the site level "All Students" grid and the session level "Students" tab, as requested by users to more easily locate a child in the download. We also separated each child onto their own page in the download.



  • Updated the Meal Counts record at the session level to show each child's picture and age beside their name, so teachers marking meals served can more easily identify students in the list.




Fixes & Adjustments

  • Updated the filters available in the Family Accounts record (within the Finance sub-menu), including the "Balance" and "Sites" filter, following feedback from users that they were not operating as intended.
  • Fixed the "Region" column on the CAPP Aging Report, which was previously not appearing when used as a filter.
  • Updated the import/export template for "Schedule Fees" to ensure that the "Rate Zone" field exports any assigned values, and the import properly updates any changes made to the fee template's Rate Zone. Please note, "Rate Zones" must be enabled in Finance Settings before being able to utilize this feature.
  • Fixed an issue with the "Enrollment Category Report" (available in the Enrollment Dashboard) reported by some users, causing duplicate student rows to generate in the report with the Adjustment Factor category of "Infant."
  • Updated the permissions for the Agency Admin role to be able to edit FCCH Site Names, following a report by users that they were unable to.
  • Updated the attendance Sign-In/Out Sheets record (available at the Site and Session levels) to ensure the "Sign" button is always present for attendance sheets that have yet to be signed by a parent.
